Add, edit or remove users

Users are found by navigating to Settings and Users. There are different ways to handle users which will be outlined here.

Integration - User Provisioning

Setting up an integration is the recommended method for managing user data. This way, managing user data can be automated. See our User Provisioning documentation for more information. 

Mass edit

To mass edit users (add, edit and remove), press the Mass edit button and follow the instructions.

 1. Download template

Select template a. Create users or b. Edit users depending on your use case. Template b can be used to edit existing users and create new ones, it contains all users and their user information (user information, such as email, language, segments within attributes) at the time of download. 

Perform your changes in the downloaded CSV file before proceeding with uploading the file. 

Note: There are some actions that cannot be done when editing existing users' information. 

  • You cannot change the email with mass edit, this has to be done manually in Eletive.
  • You cannot update a segment name with the CSV file, this has to be done manually in Eletive. Make sure you change the segment name in Eletive before the file is uploaded. Otherwise, Eletive will consider the imported segment as new, and viewing trends will not be possible.

2. Upload template 

When uploading the CSV file there are different options that can be utilized depending on the use case. You select the configuration of the different uploading types by (un)/checking the boxes. 

Checkbox 1:  Use with care, this CANNOT be undone! Mark this checkbox if you want to reflect all blank fields by resetting them for the users. 

This means that empty fields/cells in the CSV file will be set to a blank value in Eletive. E.g. if a user belongs to the IT Department in Eletive, if IT is removed in the CSV file the updated value for the user in Eletive will be blank (-). 

Checkbox 2: "Use with EXTREME care, this CANNOT be undone! Mark this checkbox if you want to DELETE users that are NOT in the file"

As described, if uploading the CSV file with this option checked users that are not in the list will be deleted from Eletive. Once uploading the file the prompt below will pop up. 

The "Download Missing Users" button will result in a new CSV file that contains a list of the users that will be deleted if proceeding with the upload. You have to check the informational checkbox in order to be able to proceed with the upload. 

Note: It is possible to check both boxes when uploading the file, then both configurations will apply for the CSV file upload. 

If not checking ANY of the boxes, empty fields will be ignored and no users will be deleted. Usually, this is the most common scenario. 

Common mistakes when uploading .csv-files using "Mass edit"

If you are uploading a .csv user file into Eletive and keep getting errors, it could be a good idea to look at the below-stated common mistakes, before uploading the file again.

  1. User duplicates
    Remove duplicates. Solution example Excel
  2. Not transforming the excel-file to a .csv before import
    Save the file as .csv. Solution example Excel
  3. The headings on row 1 are not the same as in the Eletive template
    Adjust to the correct headings. Example: “Email” and not “E-mail”. Do NOT change the template headers in general.
  4. The date format is not the same as in the template
    Change the date in your file to the Eletive-supported date format: YYYY-MM-DD. If you have changed the format in Excel and saved it as a CSV file, the date will appear in this format in the raw CSV file. Check with Notepad or Wordpad, and don't use Excel to check this. Solution example Excel.
    Changing the Windows time format will avoid Excel from auto-changing to the wrong time format in CSV files when opening .csv in Excel. To change the Windows time format, do the following: Open Settings. Click on Time & Language. Click on Date & time. Click on Date and time formats. Change the short date to YYYY-MM-DD.

  5. There are spaces before and after segment names
    Remove the spaces. Solution example Excel
  6. Wrong language codes are used (E.g. “se” and not “sv” for Swedish)
    Adjust to the right language codes according to our guide. You can use search/replace in the column to change this. Solution example Excel
  7. There are empty columns with empty values
    If you keep on getting messages that "....is missing or cannot be found" and you don't know why. Remove all the columns that have empty values and try to upload the file again. It's best practice to always remove columns that should not be updated in the platform, even if they seem empty. 
  8. Make sure you use the latest version of your software (e.g. Excel) to avoid any rendering errors
  9. If you use Google Sheets. Eletive only supports semicolon “;” as a delimiter and not “,”, “.” etc.
    Solution example: Use Notepad or a similar tool to “find/replace all" commas (,) with semicolons (;)

NOTE: Excel and CSV are not the same even though Excel can open and edit CSV files. Excel sometimes views and saves CSV files in strange ways such as date format. Open the file in a raw text editor lite Notepad on Windows to view the data as it will be uploaded.

NOTE: The above guides you on how to remove mistakes in .csv-files before uploading them into Eletive. Eletive cannot guarantee consulting capabilities in other systems than Eletive such as Excel, Google Sheets, Microsoft Entra ID (formerly Microsoft Azure Active Directory) etc. For this reason, Eletive does not do any consulting in other systems than Eletive, which is by default stated in the Terms and Conditions in customer contracts. We do hope that above stated common errors help you towards the successful uploading of your .csv-file.

To add users manually, click on Add new users button.

Edit

    To edit users manually in the tool

    1. Press on the user you want to edit
    2. Edit the user as desired
    3. Press Save

    Remove

    To remove users

    1. Select and click on the user you want to remove
    2. Click on the Delete button

    OR

    1. Mark the user in the list
    2. Press the "Delete selected" button
