Below you'll find our recommended steps on how to handle a survey that's been sent out by mistake, i.e how to stop an ongoing survey.
1. Communicate internally
Make sure your organization are aware of that a survey has been sent out by mistake.
2. Identify survey type
Depending on which survey type it is, there are different options on how to handle them. See each section below.
3. Manage the ongoing survey
Engagement survey
Engagement surveys are managed via Settings / Schedules
- Close the survey by changing survey end date and time.
Steps are described here. Note that end time can only be configured to the closest upcoming 15 min-interval.
This action makes sure that the survey sendout is closed and that no additional employees can answer the survey. - Optional: Remove collected answers. Done by backdating participation for all users. Read more about backdating here: Backdate.
- Plan your next steps. Decide on how to proceed, review the schedule settings before considering to potentially re-launch a new survey.
If unsure, reach out to your customer success contact for guidance on configuring a schedule that fulfill your needs.
Note: do NOT deleted the Schedule, this does not end the current survey sendout. It will still remain open based on the configured end date.
If deleting the schedule it's not possible to close the survey sendout earlier.
Custom survey
Custom surveys are managed via Organization OR Segment / Custom Survey
- Locate the Custom survey in the "Active" tab
- Close the Custom survey, steps are found here
360 survey
360 surveys are managed via Settings / 360 Feedback (for recurring 360 survey) OR Organization / 360 Feedback for non-recurring 360 surveys
- Locate the 360 Survey in the "Active" tab
- In the "Action" column, click on the three dots followed by "Close survey"
Lifecycle survey
Lifecycle surveys are managed via Settings / Lifecycle Surveys
- Locate the Lifecycle Survey in the "Active" tab
- On the far right, click on the three dots followed by "Deactivate".
This action makes sure that no additional users get the survey invite going forward. Read more about the lifecycle statuses here
4. Identify why the survey was sent out
It's important to understand why the survey was sent out.
Common scenarios:
- Recurring schedule configured
- Misconfigured schedule or enabled by mistake
